Title: Administrative Specialist - Cianbro Institute
Location: Pittsfield, ME

Job Responsibilities:

  • Front desk support - greeting all incoming visitors with a welcoming, friendly and engaging attitude to assist them with their needs
  • Perform office support duties including but not limited to answering phones, maintaining records/filing system, ordering office supplies, distributing incoming correspondence, etc
  • Coordinate meetings & prepare agendas
  • Prepare reports, presentations, memos, letters, and other documents as needed
  • Manage and maintain Outlook calendars
  • Payroll and travel expense entry and review
  • Maintain and Oversee Driver Qualification records
  • Process workforce development records/licenses & certifications, and new hire paperwork
  • Learn apprenticeship tracking process and support the Institute Instructors
  • Occasionally present educational sessions which may include portions of Cianbro’s New Hire Orientation and or FA/CPR/AED instruction
  • Research projects
  • Other duties as requested

Qualifications / Requirements:

  • Ideal candidate will have at least five years of administrative experience in a fast paced environment
  • A good working knowledge of Microsoft Office applications is necessary
  • The position requires excellent communication skills, with a personable, professional demeanor and a collaborative attitude
  • Ability to learn software platforms
  • Ability to prioritize multiple tasks to completion
